Norwich City Council is the data controller for contracts and the procurement of goods, works and services and we have a legal obligation to process your personal information. What will we do with your data?
We use it to process your quotes and tenders; to carry out financial and business checks; to assess the transfer of undertakings (protection of employment) or TUPE; to create legal contracts; and to make payments for the goods, works and services that we procure. We intend to keep your data for seven years after the end of the financial year in which the records were created. Any information relating to contracts made under seal will be destroyed twelve years after the contract termination as stated in our Retention Schedule available on our website.
What are your rights?
You have the right to request access to your personal information to:
- ask for errors to be corrected
- restrict how your information is used
- object to how it is processed
- request that your data is deleted.
You also have the right to lodge a complaint with the Information Commissioner's Office if you are not happy with how your data is processed.
What are the consequences of you not providing data?
We may not be able to award a contract to you.
How will we share your data?
Information provided for procurement and contracts is shared internally your information may be shared throughout the council; our IT, finance and audit joint partnership (LGSS); our legal services joint partnership (nplaw); NPS Norwich Ltd and our other joint partners.
Your information will also be shared externally with our e-procurement portal provider (InTend); Crown Commercial Services; and public sector framework providers.
Awards may be published on contracts finder; tenders electronic daily (OJEU notices); and East of England Local Government Association (EELGA).
If a joint procurement with other parties, your information will be shared with those parties, for example another local authority.
Apart from where previously stated, we do not pass your details to third parties unless we are lawfully able to do so for the prevention and detection of crime and fraud, or for the collection of taxes.
